Calculate your realistic billable capacity
Estimate annual and monthly billable hours after leave, holidays, sales, admin and other unpaid work.
available work hours x (1 - non-billable percentage)
When to use this calculator
Use this calculator before setting rates, planning revenue or deciding whether you have capacity for another client. It turns a work schedule into a more realistic estimate of sellable time.
How to interpret the result
The result is capacity, not guaranteed demand. Track actual invoiced hours and revise the non-billable percentage as your business changes.
Example: why 40 hours is not 40 billable hours
Working 40 hours for 46 weeks with 35% spent on sales, administration and other unpaid work leaves about 1,196 billable hours for the year.
Limitations
The tool cannot predict gaps between clients, late cancellations, illness or seasonal demand. Build additional caution into revenue forecasts when income is uncertain.
